Introduction

Elite Software Automation (ESA) is a boutique consulting firm that helps successful, fast growing businesses become even more successful by increasing their profit margin, and enabling scalable growth through process optimization, custom systems, and automations.

Our clients are established 7 and 8 figure enterprises with service-intensive business models. They are companies who are good at getting clients and making sales, but as they scale, they face challenges in running the back-end of their businesses. They generally have issues with the effectiveness and efficiency of operational processes, systems that should run those processes, and automations, or the lack of them.

This is where we come in. We turn our client businesses from chaos to order and transform their operations into more lean, more profitable, and more automated machines.

We fix process issues by expertly designing and implementing all-round detailed business processes that assure effective and efficient operation in any all relevant business area.

We build and implement custom systems that make sure that all these processes are correctly and efficiently run at all times; and cannot be sabotaged by people, wrong decisions, lack of information, or any other form of human error.

We automate all processes with repetitive logic within our systems with highly detailed custom automations, removing the manual effort on them, and making execution instant.

All this is only possible because of our unique approach, which consists of very focused and methodical execution, dedicated focus on each client’s specific business goals and circumstances, extreme attention to detail, and our unique in-house developed technology stack and methodology. Our firm does not outsource anything, everything is done by our full-time in-house team, which includes our expert business process re-engineering team and a full-stack technical design and development team.

We are a major advertiser and have a well-established marketing operation that is bringing in more prospective clients than we can handle every single month. Due to such high demand, our firm has to work with clients on invitation-only basis. Only vetted prospects with established and mature businesses where we can actually make a real difference and produce real results have the opportunity to become our clients.

All of our clients work under our methodology and follow our proven process. We don’t engage in random client-directed consulting engagements or random client-ego-pleasing activities. Everything we do with clients is strictly focused on building up relationships for mutually rewarding long-term success with real long-term focused solutions and long-term focused engagements.

This job is a purely RESULTS focused job. If you get this job, your responsibility is to actually improve the client’s day-to-day business operation to make them more efficient, more effective, less error-prone, more scalable, and more profitable. You will need to study their business processes, you will need to re-engineer these processes, and you will need to implement these new processes with our custom systems and automations solutions, and then you will need to keep refining the business processes to maximize the results and support our client’s business for the long term.

How Our Organization Works

Our goal with every single project we undertake is improving the actual day-to-day operation of our client business, and doing so quickly.

To achieve that, we operate with a rigorous methodology that considers things holistically and accomplishes excellence in both business processes and technology/systems, without mixing up important business decisions with technical details and deliverables.

First, the process decisions are made based on what is good for the business. This is a thorough process involving both a thorough investigation of current day-to-day operations in the business, as well as conceptual design of new business processes designed to make the operation better.

Then a separate set of technical experts work with you to make very innovative technical solutions that fit those business needs and requirements.

Clear delineation of expertise is enforced and made use of: business experts don’t make technical decisions by themselves and technical experts don’t make business decisions by themselves, but both are accountable to work proactively together, raising and resolving questions or issues until the solutions actually achieve the expected results in our clients’ organizations.

Our Process

Everything starts with investigating our clients’ business situation, business goals, profitability issues, and their perception of challenges and blockers. The goal of this is to interpret and actually understand what the real business issues and their root causes are.

In this we go very deeply in understanding exactly what goes on in our clients’ day to day operations, not only what they think happens there. We investigate records, system logs, numbers, documents, details of processes, and other hard evidence of operations. We interview our client’s staff and other individuals involved in the specific business processes. All this is done so that we can get an accurate picture of what really happens and can understand all the various details and nuances of what happens there. This ensures that we correctly identify the problems and their underlying root causes.

Specific business process solutions are then conceptualized, tailored to solve the root causes. These solutions aim to eliminate inefficiencies and drive achieving the business’s objectives.

They incorporate process organization, waste elimination, process enforcement, manual work automation, quality improvement, conversion efficiency improvement, customer experience improvement, proactive customer retention measures addition, performance management, and/or anything else the business needs to change to overcome its challenges and achieve its objectives.

These business process solutions are then prioritized based on their necessity and business impact.

The priority solutions are worked out in detail and are themselves modeled, simulated, and analyzed to ensure that they will not only solve the actual problem, but will also benefit the objectives of the business overall.

Once the business solution details are decided, we set the requirements for the software and system solutions that will enable these solutions to come to life. Our highly experienced technical design experts work with the business process experts team to design the technical solutions in a way that allow future flexibility, further iterative improvements, and the ability to accommodate changing business needs for long term use.

Our tech is very specific, as we have designed and built our own tech stack to enable us to build custom solutions reliably, while allowing for fast cycles of conceptualizing solutions, building them, implementing them, refining them, and improving the business further. We have a unique combination of custom development with low-code/no-code solutions platforms that allows us to deliver high quality custom solutions much faster than industry average, but without any of the limitations of off-the-shelf systems.

While the technical solutions are being built, we prepare for their implementation into the client’s organization.

Rolling out a new process, system, and/or automation into a fast paced business needs to be carefully planned and carried out to avoid chaos, mistakes, breakdowns of process or any other negative impact on our clients’ ability to deliver their own services. We ensure that everyone in and outside of their organization is trained and onboarded to the new processes and systems seamlessly, that any data is migrated and up to date as needed, and that the entire solution and team hits the ground running on the go live date.

Once any new process and systems solution is in use, we don’t stop there. We proactively monitor and measure the performance of the implemented solution and see how successfully it’s resolved the business issues and is driving the business towards its objectives. We make sure our clients also have all the necessary data and information to make strategic plans and decisions about the next steps for their business.

If we find that the solutions have not achieved their desired goals, or discover previously unknown scenarios or issues with it, we improve and iterate the solution until actual results are delivered to our clients’ businesses.

We also use our observations and data to help define the next priority improvements in line with our client’s next most pressing issues or circumstances, and most critical objectives.

Role of Business Process Analyst in ESA

In this job, you are ultimately responsible for creating the results for our clients’ business operations. You will be ultimately responsible for the client’s business processes and how their actual business operations work.

When you get a new client, it will be your responsibility to thoroughly investigate the client’s day-to-day operations and reconstruct the client’s current business processes. You will examine all their current systems, data, records, documents, communication logs, and other artifacts of their business. You will interview all their key staff, managers, and other individuals. You will conduct other investigation as appropriate. And you will ultimately reconstruct in detail the client’s current as-is business processes, capturing all appropriate process scenarios, structure, and other inner workings of the business processes.

It will then be your responsibility to use your business process expertise to improve the client’s business processes in a way that will enable a more profitable, efficient, and scalable business. This will not be one of those cases where you will just apply cookie-cutter solutions. You will actually need to work from root principles to find out sub-optimialities and issues in current business processes and then re-engineer the business processes of the client and define the exact desired processes that will need to be implemented to achieve the results goals, and it will be your responsibility to ensure that the desired processes you engineer will actually be able to successfully work in our client’s day-to-day business operations.

You will then work with our technical team to get a systems solution designed that will actually implement, enforce, and automate the desired to-be processes in the client’s business. While it is the technical team who is responsible for the technical side of the design, it is ultimately your responsibility to ensure that the design will actually meet the business needs and enable the implementation of the desired business processes that have been crafted by you. It is also your responsibility to ensure that as the systems are built and made ready for implementation, that they actually meet the needs of implementing the desired processes you defined and will work for the client’s day-to-day business.

It will be your responsibility to implement the desired processes and systems into the client’s actual business operations, and actually make it so that the process improvements you conceptualized become the daily reality. You will discover issues during implementation, you will discover the need to refine your improvements, and you will need to follow through on those needs. Ultimately, the actual end-to-end day-to-day resulting operations in the client’s business are your responsibility and you will need to work to make sure these processes and systems powering them are refined to achieve the desired results. As our clients evolve their businesses you will need to continue to evolve their processes and systems to power their growth, efficiency, and profitability as time goes on.

This is an extremely rigorous and thorough job. A very methodical approach is required to execute it. There is a lot of complicated decision making and responsibility in this job, and while there is a lot of independence offered in the job, there also is a great expectation of responsibility and you will be held to account for results on a frequent and regular basis. This job requires a 100% full-time focus and 100% full-time effort. It is impossible to execute this job while doing other things on the side. Expectations

This position requires the following skills and experience:

  • Practical commercial experience of successful business process re-engineering, business process automation, business process optimization, and other forms of business process improvement;
  • Intricate and in-depth knowledge in the subject of business process re-engineering. You must have experience and skill of in-depth current business process reconstruction, identification of intricate ways that business process can be re-engineered for improvement, development of improved business processes, and practical implementation of improved business processes. It is expected that you must have a rigorous theoretical knowledge of the core principles of this subject and be able to come up with custom to the situation solutions as opposed to recycling off-the-shelf cookie-cutter case studies;
  • Analytical skills to discern confusing information, separate reality from perception, and process large amount of information while maintaining rigorous analysis;
  • Ability to conceptualize and simulate business processes in a way that can allow you to find business process inefficiencies and refine the theoretical business process so that it will be efficient and produce results;
  • Ability to create effective logical rules that will be able to govern business processes and systems, and direct business jobs or automations to be executed correctly;
  • Practical business “common sense” that allows you to evaluate your own and others’ business improvement proposals critically and contrast it with the realities of practical business execution to eliminate unpractical elements and make your business solutions reality-proof;
  • Strong planning, prioritization, and organizing skills to manage complex projects through multiple stages of delivery successfully on time, without giving up on important deliverables, and without wasting resources;
  • Effective communication skills to formulate and communicate your thoughts to the client and inside the team, along with excellent verbal and written English language ability;
  • Ability to effectively perform in a high-pressure environment, solve difficult problems, manage expectations and priorities, deliver impeccable service and flawless execution on a consistent and continued basis even in the face of difficult and complicated situations.

Our organization is actively expanding and has been experiencing large growth both in terms of client numbers as well as revenue numbers, as such there is always a growing amount of revenue-producing responsibilities in the business available, and our firm takes it very seriously to retain and motivate team members who successfully deliver on such responsibilities. We also monitor our team members’ improvement journeys and can award you raises as a team member’s contribution gets faster, better, or in any other way more impactful and helps us achieve more. Every member of the team has received a substantial raise within the past year; in fact, many received multiple raises. If somebody isn’t getting a raise in our organization, that’s usually a sign that this person isn’t performing well and usually doesn’t end up lasting in the company.

We also don’t make any demands on where you work from. Wherever in the world makes you the most content and productive, we’re on board with it, you can work from any country (exceptions apply as per U.S. sanctions and national security interests).

We also don’t have fixed office hours and you are free to arrange your schedule as you need to. We do have meetings with clients (almost all in the US) and you will need to coordinate with other people in our team. But timings can be flexible as long as you can make arrangements to accommodate clients’ and other team members working hours as needed. Keep in mind though that in order to deliver the results needed, you will need to work extremely hard for this job, so please don’t get the idea that this can be an easy job by any measure.

This job accepts candidates for two levels. Both levels require experience and expertise within the subject. There is no junior or entry level available for this job.   • This Level is for highly experienced and highly skilled senior experts with extensive expertise across the fields of business process analysis, business process re-engineering, business process automation, business process optimization, and other business process improvement.
  • Extensive commercial experience of leading successful engagements involving business process analysis, re-engineering, automation, optimization, and other forms of business process improvement is required for this Level.
  • Both breadth and intricate depth of knowledge of the theory and the practical implementation of business process analysis, re-engineering, automation, optimization, and other improvement is required for this Level.
  • This Level is expected to expertly and independently conceptualize, execute, lead, manage, and oversee end-to-end business process analysis, re-engineering, automation, optimization, and improvement engagements for our clients, and will be held accountable for the overall results of the entire engagement. It will be expected that professionals of this Level will be able to deliver results quickly and effectively to clients within the context of our organization.

  • Applicants for Mid-Level are expected to possess strong analytical abilities, solid knowledge of fundamentals of business processes, and ability to carry out detailed operational process investigations, diagnose business process problems, recommend business process solutions, model and simulate them, and work with technical implementation of technical solutions designed for them, and you should be good with details.
  • Applicants for Mid-Level are expected to have real commercial experience in successfully performing key functions on projects involving business process automation, business process optimization, and business process improvement, successfully completing your part of the analysis and implementation parts of said projects.
